Main tasks:
  • As the Admin support, you will coordinate operational and analytical processes in Finance & Administration activities, by providing a range of administrative support to the CFO, CFO Front Office and department/team heads in F&A
  • You will have the responsibility for operating transactions and processes and work closely and collaboratively with internal and external stakeholders dealing with highly sensitive issues within extremely tight deadlines and demanding situations
  • Be responsible for time schedule and management on behalf of the CFO, including effective prioritizing and resolving related conflicts and competing demands with the highest level of discretion and setting and managing priorities and the workflow of the CFO as well as administrative coordination within the Division
  • Provide back-up support to the CFO, including proactive preparation and coordination of briefings for meetings, coordinate follow-up actions
  • Ensure quality of documents requiring the CFO’s approval and/or signature
  • Provide administrative support to departments and teams in F&A as required
  • Keep others informed by providing relevant information, reports or status updates
  • Support and work collaboratively with members of the immediate work team as well as with others in diverse work groups/teams/task forces across the Secretariat and serve as first point of contact and liaison with clients and officials both inside and outside the Secretariat
  • Ensure smooth operation of the office support work and related systems within the Division and assuming primary responsibility for organizing and coordinating workflows
  • Support the TO&C projects as and when required


Main qualifications
  • Experience developing and managing the financial calendar for recurring reporting and operations
  • Experience monitoring analytical reporting and regulatory documentation as per applicable policy, procedures and audit requirements
  • Experience ensuring efficient knowledge management through organization, categorization and filing of different sets of documents
  • Experience monitoring the team budget and forecast (including monthly accruals) and F&A suppliers and providing analytical support
  • Experience supporting/managing the weekly short-term donor payment forecast and establishing payment schedules based on documentation when required
  • Experience preparing and following up on payment requests as per schedules and forecast when required
  • Experience coordinating the relationship management with third-party providers or brokers and following up with all necessary internal stakeholders when required
  • Languages : English is mandatory, another language would be a plus
