Junior Project Coordinator - Kaiseraugst - 100%

If you are a Junior Project Coordinator, then you are THE person we looking for!

This very exciting opportunity is a contracting position planned to start the 1st of May until the 31st of December for one of the biggest pharmaceutical players based in Kaiseraugst (near Basel).

Background:
The role will be part of a newly implemented Support Office for infrastructure projects.
The Office provides financial, procurement and administrative support across various global projects; with different stakeholders within business and IT.

Purpose:
This role supports a number of project managers to cover the administrative and controlling aspects of the project(s).

- Keeping records of all information related to project for documentation.
- Financial accounting and reporting, ensuring that all necessary protocols are adhered to.
- Providing project management support, carrying out project controlling.
- Performing communication, information and documentation tasks.
- Assurance of quality and resource management.
- Additional support tasks as required by the project teams.

Tasks & Responsibilities:
- Tracking and data management of project resource allocation
- Financial reports creation
- Handling accrual requests
- Ensuring all quotations/Purchase Orders/invoices are properly handled
- Follow up on local and global invoices from vendor, and update/review financial systems
- Management of project document repositories
- Support meetings (scheduling, take meeting minutes, booking rooms and catering etc.)
- Support on-boarding of new team members from administrative point of view

You bring for this role the following qualifications:
- University Degree or equivalent education
- Experience in providing administrative support with similar tasks for global project (+2 years)
- Experience working with Global Virtual teams (+2 years)
- Experience using MS Office products and tools (+2 years)
- Very good grasp of Google suite (Google Docs, Sheets and Slides, gDrive, gSites, G+ Forums and Google Forms)
- Experience working in a shared service environment would be an added advantage
- Team Player and flexible to cover different time zones globally
- Structured approach and task management (ability to handle multiple incoming requests without dropping anything)
- Flexible and transparent with workload and tasks, self-organized and detail-oriented
- Ability to work/communicate effectively in English speaking business environment (business fluent in speaking and writing), additional languages are an asset
