Document & Operations Specialist (m/f/d)

Main tasks:
  • Develop business relationships with key clients
  • Support and/or lead and track the implementation of new services and project plans
  • Ability to complete complex operational assignments and coordinate related activities
  • Meet and improve all service levels outlined within contracts and ensure applications of quality control measures
  • Be aware of and ensure that H&S requirements of site are met
  • Operating functional equipment
  • Receive and process incoming and outgoing work
  • Print and finish and distribute all submitted print requests and documents
  • Scan documents/files and integrate into agreed document workflow/depositories
  • Arrange courier collection including required manifest(s) and documentation
  • Manage other logistics function such as shuttle bus operations and overnight shipping
  • Maintain inventory & stock management and fulfillment of consumables items and paper for production centers
  • Manage teams to ensure the high standard of work produced by team members
  • Identify non-compliant activities, resolve discrepancies and escalate as appropriate
  • Maintain basic record keeping and tracking of data as required by management
  • May be required to alternate between multiple locations within job location in the country to provide coverage as needed as well as variation of work hours to conform to needed coverage


Main qualifications
  • Excellent customer service skills, attentiveness, able to interact positively and pleasantly with the ability to go above and beyond to find ways to meet client needs
  • Knowledge of mail operations, print equipment, production processes
  • Ability to follow directions, show initiative, work and perform duties under minimal supervision, and follow through on tasks
  • Self-motivated with proven ability to learn and to proactively seek and participate in cross training opportunities
  • Able to work productively in a fast-paced team environment
  • Detail and deadline oriented with strong emphasis on safeguarding all personal and confidential information
  • Basic understanding of risk and controls for the activities responsible
  • Able to resolve complex problems and with the ability to recommend process improvements
  • Willing to offer assistance and openly share knowledge with others, providing guidance and direction to team & colleagues
  • Ability to prepare documents and present ideas/information to management members
  • Advanced understanding and use of Microsoft Office products; (Excel, Word, Power Point, and Outlook; including email & calendar)
  • Comfortable with and have a solid understanding of basic business technology
  • Good oral and written communication skills
  • Intermediate to advanced level of French and English
  • High school diploma or equivalent
