Analyst / Secretariat Financial Process Optimization (m/f/d)

Main tasks:
  • Support the end to end Purchase Order process for grants
  • Design, prepare instructor-led training sessions on process enhancements/changes
  • Contribute to producing appropriate communication material around the process enhancements/change
  • Produce exception Management report and support the testing of new/enhanced system solutions
  • You will provide support and monitor financial business process 
  • You will ensure timely processing of the Grant Purchase Orders, review the available documentation, guidance, and update them as needed 
  • This role involves effective stakeholder engagement and simplification as well as efficiency principles
  • You will also support the roll-out of training activities on new/changes in processes in collaboration with functional business owners
  • You will support the Senior Specialist, Secretariat Financial Process Optimization during the development, testing and implementation of a business solution
  • After go-live, ensuring effective operationalization of the business solution


Main qualifications
  • University Education in Business, Finance, IT or any equivalent with a strong analytical component
  • Profound demonstrated professional experience in a business process re-engineering with strong focus on internal control and exception management
  • Experience in independently drafting and finalizing high-quality presentations in PowerPoint and in planning, preparing trainings
  • Demonstrated success with detailed project management and on-time delivery
  • Advanced knowledge of PowerPoint and Excel
  • Knowledge of the Grant Operating System (GOS) and Power Query is beneficial
  • Persuasive presentation and facilitation skills
  • Ability to ensure a high standard of publication-ready material
  • Ability to manage competing priorities under tight deadlines, work in a fast-paced environment and stay calm under pressure
  • Adaptability and flexibility in working in a complex and dynamic environment
  • Proven record of interacting and maintaining good working relationships with individuals of varying social and cultural backgrounds
  • “Can do” attitude: deliver high quality work on time regardless of challenges
  • English skills on a native speaker level and preferably a good working knowledge of French
