Temporary Executive Assistant

Location: Bern, Switzerland

Duration: 6 months

Start: Ideally

Workload: 100%

Language: English - fluent, German - Good command spoken and written

Provides personal administrative support and assistance to the Head of GRA Operations Excellence (OpX) and Head of GRA Science and Policy (GRASP).

Responsibilities:
  • Provide general executive administrative support like:
    • Manage and maintain schedules, including scheduling travel and conferences
    • Arrange and co-ordinate meetings and events.
    • Manage and prepare correspondence, communications, presentations, and other documents
    • Receive and interact with incoming visitors.
  • Orchestrate Heads ofOpX and GRASP travel and participation in external meetings
    • Travel arrangements (booking, travel logistics, and preparing individual travel dossiers for each trip).
    • Filing of expense reports
  • Prepare and support meetings and follow-up activities from meetings:
    • Support planning, coordination and running of meetings, workshops, extended meetings, and other activities as relevant
    • Prepare and coordinate agendas, take minutes, track follow-up actions from meetings, and maintain action logs.
  • Meeting organisation:
    • Plan and organise venue of attendees / speakers
    • Obtain information on facilities of venue and costs - generate and track budget overview
    • Send meeting request to participants, follow-up and tracking of participation
  • Ad hoc support due to absences / workloads


Experience/ Competencies:
  • Business administration, Commercial degree or equivalent
  • 5 years minimum experience in international environment, supporting a global function, as a personal/executive assistant an advantage
  • Flexibility, ability to work under pressure, work outside office hours,
  • Excellent command of English, spoken and written, good command of German spoken and written, additional languages are an advantage.
  • Proficient in MS office, attention to detail, timely delivery, and good sense of urgency/business relevance
  • Strong organisational, project management and problem-solving skills with impeccable multi-tasking abilities
