For our customer in Zurich we are looking for a Executive Assistant to Managing Director (m/f)

Task & Responsibilities:

  • Activities include screening and prioritising e-mails and phone calls for the managers; Organisation, Coordination and preparation of meetings, workshops, internal events and travels; Take and write meeting minutes in German and English; Coordination with other Management Assistants in areas that require joint effort
  • Complete diary management
  • Scheduling/coordinating internal and external meetings across time zones
  • Forward planning and organisation of Committee meetings, including preparation and distribution of relevant documents
  • Liaising with Events team and clients regarding corporate entertainment
  • Ability to prioritise meetings and remain one step ahead of demanding schedule, maintaining attention to detail at all times
  • Preparation of international travel arrangements with detailed itineraries, and reconciliation of travel expenses
  • Ability to forward plan travel is a must and ensure visas are processed ahead of time and kept up to date

    Required Experience/Skills:

  • Experience working at Managing Director level preferred
  • Proactive, able to work on own initiative and prioritise own workload
  • Flexible approach
  • Excellent inter-personal and communication skills
  • Fluent in German and English
