Team Assistant in Pharma Research Oncology (m/f/d)

Main tasks:
  • Supporting the organization and planning of meetings including room and VC scheduling, list of participants, agenda setting and if needed minutes for internal and external conferences, consultant meetings, internal entertainment events, etc. 
  • Organizing travel schedules, seminars, accommodation and program arrangement for visitors as well as handling all aspect of managerial travel 
  • Handling all administrative aspects of spend management system ARIBA and controlling travel expenses/travel requests/invoices, as well as evaluating cost estimates for external and internal meetings 
  • Assisting recruitment activities and organizing the introduction of new personnel to the group 
  • Interacting with all pRED departments and with external business partners and ensuring smooth communication within the department (new regulations, new appointments, various announcements, meeting agendas, etc.) 
  • Preparing and administering all aspects of consultancy and confidentiality agreements according to Roche policies and best practices, as well as Health Care Professionals process coordination 
  • Taking care of daily routine secretarial duties (i.e. copying, phoning, distributing, incoming/outgoing mail) and working with other administrative assistants to ensure consistency of approach and exchange of best practices


Main qualifications

  • Secretarial/business/office management certification/qualification and profound work experience 
  • Outstanding computer skills and specific proficiencies with Microsoft Word, Excel, PowerPoint and other applications as well as experience working with ARIBA and Touchpoint 
  • Excellent time management and organizational skills with proven abilities to work independently 
  • Strong customer orientation and team player attitude 
  • A strong sense of confidentiality 
  • Ideally, you are acquainted and can identify with the Roche values, culture and work ethics 
  • Strong communication skills and fluent in English and German speaking/writing
  • Additional languages are an asset
