We are currently looking for an outgoing, energetic, proactive, experienced person who can undertake an Administration Assistant role supporting the Leadership Team of Roche ERP in Kaiseraugst.

General information:
- Start date: 02.09.2019
- Latest start date: 16.09.2019
- End date: 29.02.2020
- Extension: possible, depending on performance.
- Work location: Kaiseraugst,
- Workload: 100%
- Remote/Home Office: 1x week
- Travelling: Not required
- Team size: team consist of 5 other assistants

Tasks & Responsibilities:
- General administrative tasks such as meeting organization, business travel coordination, organization of project support and business analysis
- Preparation of meetings and events incl. agendas, invitations and material
- Support confidential HR activities, such as recruitment of staff, personnel issues, and assist with new-starter onboarding and orientation
- Act as a contact person for general requests involving the department, such as moves, office set-up/allocations, etc.
- Support procurement processes and partners (invoices, purchase orders, accounting, etc.)
- Support appropriate information flow for the department, such as internal announcements and other communications

Must Haves:

- Minimum 4+ years of relevant experience in the required field/position. 
- Experience includes responsibilities for managing diaries/calendars, supporting multiple team members, and working with external customers. 
- Be discreet, diligent and flexible and work actively, independently and be able to prioritize. 
- Fluent English (very important). 
- Business, commercial, IT diploma or equivalent. 
- Excellent knowledge of Google suites, MS office and SharePoint is required. 
- You love the challenges of a dynamic, global environment and have the ability to handle multiple tasks at one time. 
- Strong interpersonal skills and excellent team mate with dedication and passion, able to prioritize workload. 
- A keen sense of relevance and use of good judgment, which allows you to work with considerable independence. 
- Excellent customer service and problem solving skills. 
- Comfortable working within virtual structures where communication happens to a large degree by mail and phone.
