Administrative Assistant 60% (m/f/d)

Main tasks:
  • Organize and support internal or external meetings and events for the function including setting up the meeting facilities, welcoming visitors, and organizing catering and other logistics
  • Organize travel arrangements using the electronic system in collaboration with company's travel agency
  • Process expense reports
  • Process invoices using the procurement tool, including Purchase Order (PO) requests and accruals
  • Assist in creating or editing slide sets using MS PowerPoint
  • Provide various administrative support to the Function, e.g., order office supplies using the procurement tool, create and follow up on Information Technology (IT) and Facility Management (FM) tickets


Main qualifications
  • Administrative Assistant experience or qualifications in finance administration
  • Good computer skills on current programs (i.e., Microsoft [MS] Office Suite, MS Visio and MS Project, or equivalent)
  • Excellent spoken and written English skills; additional skills in German and/or French advantageous
  • Trustworthy, proactive, flexible, and able to distinguish confidential information and fulfill appropriate confidentiality criteria
  • Excellent interpersonal, presentation, organizational skills, ability to take initiative and to work independently, in accordance with priorities
  • Ability to be successful in a global, cross-cultural, and inter-disciplinary working environment
  • Basic understanding of contracts (including basic legal understanding of terms and conditions)
  • Experience with effectively interacting with internal and external customers
