Administrative Officer 100% (m/f/d)

Main tasks:
  • Responsible for the business area’s documents, publications, timely production and correct formatting in cooperation with other business units
  • Prepare and manage contracts for technical advisers, academics and handles the relevant logistics of such visits
  • Maintain business area’s databases of information and contact details
  • Handle all logistical aspects of management and staff meetings and events
  • Maintain the unit and business area’s web pages
  • Handle routine office tasks, e.g. mail, calls, internal and external requests, travel arrangements and administrative support services, with little supervision
  • Maintain business area’s filing system, using the standards and tools available


Main qualifications
  • Secretarial diploma or equivalent
  • High level of proficiency in Microsoft Office applications (notably Word and spreadsheet, presentation and database software) and e-mail and Internet tools
  • Good skills in formatting and graph production
  • Ability to multi-task, and to be tactful, a fast learner and a team player
  • Good organisation and time management skills, accuracy, speed and attention to detail
  • Ability to work in close collaboration with colleagues; showing a readiness to step in at peak periods is essential
  • Excellent communication skills in English (written and spoken)
  • Knowledge of German or another major language an advantage
