Admin Assistant (m/f/d)

Main tasks:
  • Provide administrative support to a department or individual 
  • Record keeping, project management, 
  • Budget tracking
  • Handling/controlling PO (Purchase Order) and invoice processes
  • Support compliance procedures and following guidelines while storing all documentation accordingly
  • Support the team with an holistic approach, thinking along the project guidelines and deliverables, as well as contributing proactively towards the correct development and closure of every step of a project
  • Setting priorities and goals for the week
  • Calendar management: supporting the department head in the daily management of her calendar
  • Handling of monthly policies: Definition of agenda, supporting presenters and delivery of presentation, troubleshoot any issues before presentation
  • Management of the call (i.e. recording call, sending minutes afterwards, etc.)
  • Multi-task and set priorities, as well as reaching out to management in case of any delay in project development as well as need for remediation or escalation process


Main qualifications
  • Professional education in administrative services (i.e. Kaufmann), Bachelor in Business Administration
  • Experience as an Admin Assistant
  • At least B2-C1 level in written and spoken in English and German.
  • Excellent verbal and written communication skills
  • MS Office (Word, Excel and PowerPoint) and email systems
  • Strong administrative coordination abilities
  • Customer service experience
  • Project management experience.
  • Ideally knowledge of compliance processes and procedures


Main advantages:
  • Latest start date: 1 November
  • There is the posibility for extension for another 12 months to be discussed depending on business needs.
  • The work is mainly onsite, although some there is a possibility for a non-regular home office work upon coordination with the manager.
  • Candidates living max. 60 minutes away from Lucern are strongly preferred.
