Project support

Location: Stein

Duration: 1 year (option to extend)

Tasks:
  • Cooperate with Procurement to ensure a smooth Source-to-Pay process
  • Support Project Assistants in on-boarding contingent workers
  • Follow up on queries from managers regarding topics such as: Control of time sheets of contingent workers and violations of work permit, work-law and Covid rules
  • Coach Hiring Managers on processes associated with Contingent workforce
  • Other tasks as assigned by the project lead
  • Besides the usual admin activities key areas are onboarding of new hires (fix and contingent), management of offices (container), supporting construction teams on site and leading the back office for organizing work permits in collaboration with government officials.
  • Contact with Novartis to manage the project office space
  • Contact with Lonza - IT to manage the IT aspects of the project office space


Construction site support in all aspects including interaction and giving guidance to suppliers in respect of
  • Register all Lonza employees at Securitas
  • Cooperation with Securitas, block, control, batches
  • Support construction site companies
    • Permits
    • COVID
    • Work-law
    • Shift plans

  • Organizing construction site visits
  • Give out PPE, Badge and small induction
  • Management of containers keys.


General administrative tasks

- German and English

- Good knowledge MS Office

- Experience participating in industrial projects / engineering companies

- Experience in SAP

- Experience in Document Management Systems, especially Unifier, ThinkProject, or similar

- Outgoing, communicative and very independent person
