PROGRAM ROLE DESCRIPTION

PMO Lead Legacy Systems Integration - Greenfield European SAP Programme

LOCATION: Geneva

OVERALL PURPOSE OF THE ROLE: Lead the definition, co-ordination and reporting on the activities associated with the integration of over 100 systems as part of a Europe wide business SAP R3 program. Ensure that the overall planning and reporting framework in place continues to meet the needs of the R3 program.

KEY ACCOUNTABILITY AREAS:

Planning - Ensure that the various Legacy streams are aware of their activities and time line within the overall plan and that these activities are managed as part of the Legacy integration plan into R3 that includes resourcing and budgets

Reporting - Monitor the progress of activities, reporting on progress v plan and ensuring issues and risks are being managed and escalating where necessary

Communication - Helping to create and maintain a culture and environment that facilitates open communications across the entire R3 program team and specifically provides regular updates within the Legacy areas to ensure the teams are aware of the status, direction, issues, risks, dependencies, upcoming major milestones, responsibilities, dependencies and business readiness of the program.

Co-ordination - Ensure that other EU or Global IT initiatives are considered within the ongoing R3 program plan, identifying and communicating dependencies, issues and risks to ensure IT activities are delivered to the various stakeholders.

THE OVERALL PURPOSE OF THE ROLE IS TO:

Provide a PMO capability to the EU Legacy systems integration stream of the SAP R3 program collaborating with the overall program to ensure alignment, consistency, transparency aimed at delivering the overall program and the associated benefits to the agreed timeline.

THE KEY AREAS IN THE ROLE ARE AS FOLLOWS:

  • Develop and achieve agreement to a Program Initiation Document (PID) with clear phases of activity aligned to all Legacy streams, responsibilities and governance defined and agreed, managing progress to ensure that the defined benefits are delivered.

Create and maintain the Legacy systems integration plan, exercising change control when appropriate, ensuring that the agreed streams are aligned; timescales are understood and adhered to.

  • Co-ordinate the work of the various Legacy stream leads that are delivering projects within the program to deliver on time, to budget, with project inter-dependencies identified and actively managed so that the overall impact is minimized to the business.
  • Identify and manage problems, risks and issues that may affect the successful delivery of the Program escalating where appropriate
  • Work with the R3 Implementation and Conversion Managers to help develop a plan that successfully implements the changes to enable the successful integration of the integrated systems including the seeding of any required data
  • Manage the Legacy systems governance in accordance with the overall R3 program to ensure that project management procedures are adhered to within the overall governance structure and support the running of the Program. This includes ensuring all reporting is in line from a content and timing perspective.
  • Manage all aspects of the Legacy program resource and budget management to ensure that the program is kept on track and that delivery is within the allocated budgets.
  • Support the R3 Program office and Implementation Manager in all aspects of communication, including the preparation of any materials, plans, training material that represents the activities within the Legacy streams.
  • Maintain awareness of the EU and global IT activities through the global teams representing the R3 program where appropriate and ensuring that the requirements of all parties is balanced and aligned, escalating where appropriate.
