PMO/Administrative Support

On behalf of our client, a leading global company, we are looking for a PMO/Administrative Support. For this contract position based in Zurich in Switzerland our client is looking for an English speaking candidate who can start as soon as possible. This opportunity will provide an excellent opportunity to learn from inside the operating model of a large IT department, understand management challenges and priorities.

Role will cover 4 roles:

  • Personal assistant to Department head and direct reports:
  • Calendar, Travel and Expenses Management:
    • scheduling meetings and booking rooms
    • booking travel, preparing and submitting expense claims
    • following up on the relevant invoices
    • administrative support
  • Support departmental Management Meetings and Workshops
    • manage bookings and logistics
    • assists with preparing agenda and materials
    • take and issue minutes and actions
    • follow-up on actions assigned to management team members
  • Administer departmental Communications and Management Data
    • assist with departmental Townhalls preparation including logistics and materials
    • design and maintain departmental SharePoint
    • assist with preparation of departmental Newsletter,
    • maintain and facilitate the use of departmental Social pages
    • assist in tracking a number of departmental KPIs and financials
  • Assist department head and direct reports with IT Workforce management activities
    • assist with maintaining head-count number for the different type of workforce
    • consolidate and track hiring request and planned joiners/leavers
    • assist in creating workforce pipeline forecast liaising with programs PMOs

Skills:

  • 5 years of experience in similar function in PMO
  • Proficiency in MS Office: Outlook, Excel, PowerPoint
  • Working knowledge of SharePoint; JIRA and Confluence would be a plus
  • Working knowledge of CS Project Portfolio tool OnePPM would be a plus
  • Dynamic and open minded personality, can-do attitude
  • Ability to capture and analyze incoming information and present it in a meaningful way
  • Ability to positively challenge counter-party point of view is a plus
  • English is a must, German is a plus
