Job title: Project Coordinator & Administrative Expert
Location: Basel
Duration: 1 year (7 August August 2018)
Workload: 50-100%

Responsibilities:

I. NTO Legal & Compliance Project Management and Coordination (70%)
§ Actively participate in the planning, execution and implementation of NTO L&C projects and
manage the project coordination in large and/or complex projects in the area of Footprint,
M&A, Internal Reorganizations or Business Transfers (eg Project Blue) or any other matter.
§ Provide proactive and independent project co-ordination and operational support for the
Integrity & Compliance ("I&C") Function in NTO and ensure that effective operational processes
are executed.
§ Lead the establishment of suitable trackers and progress management tools and constantly
monitor and report on progress of assigned projects
§ Lead the establishment and maintenance of Internal and External Virtual Data Rooms in the
course of transactions and/or projects
§ Independently handle correspondence with external law firms, as well as the mandating of
external advisors (experts, law firms, brokers) for NTO L&C projects

II. NTO Legal & Compliance IT Tools, Communication and Trainings (10%)
§ Explore and introduce use of innovative IT and communication methods and tools for the NTO
L&C Function
§ Design and build the Sharepoint/Intranet site for NTO L&C
§ Design and manage NTO L&C communication to clients via newsletters, webcasts, presentation,
trainings

III. NTO Legal & Compliance Budget, People and Organization (10%)
§ Manage NTO L&C budget related to the different team members and projects in close coordination
with the Head L&C (submission of invoices, creation of purchase orders, and year end
accrual processes/cross charges)
§ Organize and support the process and logistics for the Performance Management activities of
the Global Head L&C (Objectives/mid-year/end-year)
§ Support the Global Head L&C in the arrangement of job interviews, posting of positions,
onboarding and related tasks during the build-up of the function and thereafter
§ Independently manage the hiring process and onboarding of trainees and/or secondments
§ Establish, review and update functional organizational charts and site support legal network
overview

IV. Operational and administrative support to Global Head L&C NTO (10%)
LCLT Meetings:
§ Independently organize LCLT meetings (in person, TCs, VCs), including collecting agenda proposals and all pre-reads, timely circulation of all pre-reads, and organization of all meeting logistics (leveraging technologies such as sharepoint, webinars, VCs, etc)

Administrative Support to the Global Head of L&C NTO:
Manage calendar and travel arrangements of the Global Head L&C and all deadlines for sub-missions to, and actions arising from senior levels (including GC, NTO Leadership Team, NBS Legal Leadership Team, SOX reporting, various Steering and Project Committees)
Interact with the offices of Global Head NTO, Global Head Manufacturing Strategy, ESO and relevant Technologies for NTO Leadership meetings, events, townhalls and communication)

Education and/or professional experience:
- University degree or Fachhochschule with at least 7 years extensive experience as Administrative Expert and a minimum of 3-5 years in project management, tools and training programs, preferably in the area of Integrity & Compliance or Legal.

Languages:
- English (oral and written)
- Knowledge of 2nd and 3rd language (including German) a plus

Additional skills:
* Good knowledge in project management
* Excellent knowledge of job-relevant software (PowerPoint, Excel, etc.)
* Stays up-to-date and is an experienced user of technical resources (eg beamer, teleconferencing equipment)
* Handles projects independently and takes initiative
* Complies with deadlines
