Main duties:
- Manages project information to support project teams, management teams (eg project steering board, etc.) and decision making
- Single point of control for project data, collected from functions (eg finance); owns version management and release of changes
- Handling of Project- and Management meetings (organize project meetings, set agenda, edit and distribute minutes)
- Guides manages and tracks preparation for project milestone reviews
- Creates and maintains integrated project -, resource- and budget plans
- Guides team processes, ensuring consistency, transparency and optimization
- Tactical coordination of dependencies, timelines and budgets for all projects and functions within an area or program
- Cultivates extensive internal and external contacts with users and partner companies.Defines and implements harmonized, measures and reports key performance indicators (KPIs) for the projects to enable teams and functions to measure and improve quality, efficiency and effectiveness
- In the absence of the Project Leader, able to run project team meetings
- Set-up and adapt relevant PMO processes and structure in alignment with PPMO and relevant stakeholders and ensure process implementation within Project Team
- Acts as the Project Scheduler for one or more projects:
- Manages execution of cross-functional plans and track progress of activities
- Highlights and tracks dependencies across projects
- Proactively identifies gaps, looks ahead to potential bottlenecks or delays and challenges assumptions
- Proposes options and mitigations to close gaps and get projects back on schedule
- Continuous tracking of the critical path
- Verification of planning assumptions including identification of gaps
- Outlining dependencies between tasks within one project or between several projects
- Analyzes influences on project planning caused by changes, risks or issues
- Early exposure of any deviations (schedule, resources, budget) and early warning of concerned parties
- Supports the preparation of the consolidated project status reports
Consulting and support of project leaders in identification and implementation of preventive and/or corrective measures
- Acts as the Project Risk Manager for one or more projects
- Supports the Risk Management (RM) development and implementation process
- For assigned projects, proactively supports/challenges the project risk quality in line with RM process and project development strategy
- Manages and develops risk reports for the Project Review Steering, LC Core Team Steering Meetings and SIS LT meetings
- Organizes and conducts projects risk management meetings
Requirements:
- University degree
- At least 2 years of professional experience in Project Risk Management in a medical environment
- At least 2 years of professional experience in Project Planning in a Medical environment
- At least 2 years of experience in creating structures in a multi-national company
- Familiarity with the reorganization of a multi-national company
- Hands-on mentality, used to working in a high pressure environment
