Administrative Expert (m/f/d)

Duration: 12 MM+

Main tasks:
  • Deals with complex projects, coordination and organizational assignments independently. 
  • Takes care of general coordination of tasks, overseeing and day to day management of the business schedule, with full responsibility for ensuring effective meeting planning and a sensible work schedule.
  • Rolling annual Planning, support preparation and meeting summaries in collaboration with the Project Manager, handling of key team meetings for the CoE team, specifically the CoE Head and the CoE organization. 
  • Maintain organizational charts and distribution lists relevant to the department; create / manage and maintain various Sharepoints sites including content updates independently and interlinks with other systems. 
  • Communications & Engagement, including preparing the workspace and required resources
  • Supports the preparation of key presentations for the Global Head Patient Engagement, ensuring the data collection and consolidation, pre-read deadlines are communicated and worked against
  • Deputizing for administrative staff: For short, ad hoc periods, assumes administrative responsibilities within PE in the event of illness/vacations among other PE administrative team member
  • Ensures cascade of key communications within the team and within the PE organization.   
  • Manages travel arrangements

Main qualifications
  • Commercial training (e.g. Swiss Association of Commercial Employees, business school) or equivalent (e.g. other vocational qualification, must have very good administrative skills/experience)
  • At least first experience as an Administrative Expert in a large matrix organization
  • Experience in project management and coordination
  • A self-starter personality who needs little supervision
  • Excellent organizational skills with a high level of reliability, commitment, and respect
  • Ability to work under pressure and prioritize complex tasks effectively
  • Attention to detail with ability to set priorities and profound project management skills
  • Diplomatic communicator with intercultural experience
  • Enjoys handling a diverse, demanding workload
  • Full proficiency in MS Office with a strong expertise in Outlook, MS Teams and Excel and power point
  • SharePoint capabilities
  • Aptitude for learning new software and tools
