Project and Portfolio Coordinator (m/f/d)

Main tasks:
- Work with the Resource Leads and with the Team Leads to facilitate resource management processes to request, onboard, offboard and maintain resources in the required tools
- Maintain the project resource tracker (Team Data Hub, Gigya, Integrations) and ensure it’s in sync with the PMO tracker
- Maintain the PMO tracker to ensure resource data transparency, accuracy and consistency
- Update the team chart (Team Data Hub, Gigya, Integrations)
- Ensure that the resource/people names are in sync in the budget file (Team Data Hub, Gigya, Integrations)
- Manage distribution lists (RADA)
- Support the Integration Product Owner and IT Lead for Data Hub, Gigya and Integrations projects in setting up and maintaining the project portfolio in the tools such as SNOW (Service Now)
- Facilitate review and update of the entries in SNOW in a timely manner
- Document and communicate with project leads the requirements to maintain the project portfolio in SNOW
- Support the EpiCX Program Finance Lead to ensure financial governance and established processes are adhered to
Main qualifications
- Commercial Diploma or similar education
- In-depth experience in project work (coordination or assisting) preferably in the pharmaceutical industry
- Proficiency in and/or affinity for working with tools such as Google Suite, Trello, Smartsheet, ServiceNow (SNOW)
- Experience in SAP Tools (e.g. Ariba)
- Strong written and verbal communication (working language English)
- Proactive and strong collaborator, a team player
- Highly proficient in working virtually, and in global team
- Highly organized with an eye for detail
