Role & Background:
For our client in the pharmaceutical sector we are looking for a Global Office Administrative & Business Support to join the Pharmaceutical Sciences Team as maternity leave cover. Pharmaceutical Sciences is an organisation that enables global drug discovery and development from early discovery to late clinical stage including therapeutic target identification and validation, preclinical testing, clinical evaluation, regulatory compliance and marketing approval.
We're currently looking for a proactive, talented, well organised and detail oriented person to support the Pharmaceutical Sciences Chief of Staff and Global Office with administrative, operational and business support tasks. In this position, you will focus on day to day operational and administrative tasks, working in close collaboration with PS leadership and global office colleagues. To be successful in this role, you'll need to enjoy helping others, stay calm in periods of high workload and competing agendas, be able to spot hiccups in advance and work collaboratively to resolve them.

Your main tasks & responsibilities:
- Administrative support to PS Chief of Staff and PS global office
- Manage and coordinate meeting organization, logistics and travel for PS leadership team and other PS meetings
- Support global events in cooperation with internal partners and/or external parties, if needed
- Work together with PS communications for global events, invitations, and day to day communication distributions
- Maintain current databases, including intranet, department contact and address lists, organization charts, and other information
- File information such as presentations, reports, email documents, etc.
- Back-up during vacation for Global Office colleagues
- In addition you support different projects depending on individual interests and skill set

You have the following skills and experiences:
- You have a commercial diploma/ equivalent education with 5+ years experienced in an administrative or operations environment, preferably with previous experience on global organizational or senior management level or you have a BSc degree in business related studies with 1-3 years' experience
- Experience in a similar role in pharma/life science
- Very good spoken and written English, as well as fluency in German
- You demonstrate an expert command of electronic communication and business tools (Google Suite, Excel, Word, Touchpoint, G+, gDrive etc.)
- You enjoy coordinating team efforts and you are skilled in organizing and planning
- You love working in a dynamic and diverse team, you demonstrate strong interpersonal and communication skills and master working in a team
- A can-do, positive mindset with creative ways to resolve topics
- You project a professional and competent image of yourself and the company and you show initiative
- The ability to flexibly prioritize among competing agendas
- You know how to perform reliably and to complete tasks independently and with precision and show a keen sense of relevance and good judgment
